SchoolRota Ltd (“SchoolRota”, “we”) provides duty rota and cover management software to UK schools. This policy describes how we process personal data when you use our website and service.

Who is responsible for your data?

Schools and trusts subscribing to SchoolRota are the data controllers for staff personal data they upload. SchoolRota acts as a data processor under our Data Processing Agreement.

What we process

• Staff names, emails, job titles, and working patterns
• Duty assignments, absences, and rota history
• Account credentials and audit logs for administrators
• Billing contact details for subscription management

Where data is stored

Production data is hosted in UK/EU regions with encryption in transit and at rest. Staging environments may use regional cloud providers; see our security page for current hosting details.

Your rights

Staff should contact their school admin for access, correction, or deletion requests. Controllers may contact hello@schoolrota.com for processor assistance.

We do not sell personal data.
